Time and Leave Reporting

The Office of Internal Audit’s FY 2012 Audit Plan includes reviews of time and leave reporting records and processes. Since August, tests at several departments have been performed, and more will be selected through the rest of the fiscal year.

An automated system for maintaining time and leave records is not planned in the immediate future, thus, it is very important for employees to be diligent in ensuring the accuracy of records as manually completed and maintained.

Common errors found in maintaining time records:
– incorrect accrual rates
– prior month balances not carried forward correctly
– calculation errors
– inaccurate calculation of overtime, straight-time, and compensatory time

Maintaining correct balances for all employees who accrue leave is important to ensure leave taken (or cashed out) is based on correct calculations of leave earned. HRS performs reviews of time and leave reports when an employee leaves WSU – some of the reviews have noted significant errors.

Trainings are provided on a regular basis through HRS Training and Development. Applicable policies may be found at BPPM 60.60 and 60.62. For assistance, contact HRS (hrs@wsu.edu) or Internal Audit (335-2001).
